- Career applications: Full name, email, phone, location, current and expected CTC, total experience, notice period, company name, LinkedIn URL, portfolio URL, cover letter, and resume file (PDF / DOC / DOCX)
- Open applications: The above plus desired role, domain of interest, and a personal statement
- Cookie preferences: Your choices when presented with our consent banner
Information collected automatically
- Usage data: Pages visited, time on site, referral source, and click paths
- Device data: Browser type and version, operating system, screen resolution, and language
- Network data: IP address and approximate geographic location (country / state level)

What we do not collect
We do not knowingly collect sensitive personal data such as caste, religion, political opinion, health information, biometric data, or financial account details through our website.

How We Use Your Information
- To respond to enquiries — when you fill in a contact form, we use your name and email to reply to you
- To process job applications — your application data is reviewed by our talent acquisition team to evaluate fit for current or upcoming roles
- To send application confirmations — an automated email with a reference ID is sent to the address you provide

Managing your preferences

Data Sharing
We do not sell your personal data. We share it only in the following limited circumstances:
- Service providers: We use Web3Forms to route form submissions to our email. Your submitted data passes through their servers and is governed by their privacy policy
- Internal team: Application data is shared with our hiring managers and relevant department leads — only those who need it to assess your application
- Analytics providers: Aggregated, anonymised usage data is shared with Google Analytics, only if you have consented to analytics cookies
- Legal requirement: We may disclose personal data if required by a court order, government authority, or to protect our legal rights
- Business transfer: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction. You will be notified beforehand

Data Retention
- Contact form submissions: Retained for 12 months from the date of submission or until the enquiry is resolved, whichever is later
- Job applications (unsuccessful): Retained for 6 months after the position is filled, then permanently deleted
- Job applications (successful): Transferred to our internal HR system and retained for the duration of employment plus applicable statutory periods
- Analytics data: Aggregated and anonymised; retained for up to 26 months per Google Analytics defaults
- Cookie preference records: Stored locally in your browser's localStorage until cleared or for up to 12 months

Your Rights
Under the DPDP Act 2023 and, where applicable, the GDPR, you have the following rights regarding your personal data:

To exercise any of these rights, email info@hanvix.in with the subject line "Privacy Request". We will respond within 30 days. We may ask you to verify your identity before processing the request.

Security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. These include HTTPS encryption for all data in transit, access controls limiting who in our team can view application data, and regular reviews of our data handling practices.
No system is completely secure. In the event of a data breach that is likely to harm you, we will notify you and the relevant authorities as required by law.
We do not store resume files on our own servers. Files submitted through the careers form are transmitted via the Web3Forms API and delivered directly to our email inboxes. They are not stored in any Hanvix-operated database.

Children's Privacy
Our website and services are not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe a child has submitted personal data to us, please contact us at info@hanvix.in and we will delete it promptly.
